A professional-services website should do more than describe services. I designed the kimpaolo.co ecosystem as a connected group of digital platforms supporting the client journey—from initial discovery and onboarding to workspace access, administrative coordination and payment completion.

The Challenge

The Problem Was Bigger Than Website Design

The real challenge was determining how a small professional-services business could support the entire client journey without purchasing or building one oversized platform.

  • Marketing websites normally stop after contact conversion.
  • Onboarding information can become scattered across email threads.
  • Service requests may lack a consistent intake process.
  • Administrative access can become mixed with the public website.
  • Payment instructions are often sent manually.
  • Different tools can create an inconsistent client experience.
  • Future automation becomes difficult without a clear system structure.

Payment Workflow Deep Dive

A Branded Coordination Flow for External Payments

The portal guides the client through invoice review, payment-method selection and reference handling without storing or independently processing card details.

01 Invoice Received

The client receives the invoice and payment instructions.

02 Details Reviewed

The invoice number and amount are confirmed before proceeding.

03 Method Selected

The client chooses Wise or direct bank transfer.

04 Reference Copied

The invoice reference is copied for payment matching.

05 Payment Completed

Payment is completed through the selected external provider.

06 Completion Screen

The client returns to the portal after finishing payment.

07 Reference Matched

The payment can later be reconciled using the invoice reference.

The current portal coordinates the payment process but does not independently process card details or automatically confirm external transactions. Payment completion is later matched using the invoice reference.
